Getting started with Circleback

In this guide, you will learn how to set up Circleback and start capturing meeting notes with automated action items. By the end, you'll be able to streamline your meeting follow-ups and enhance your productivity.

Step 1: Sign up and set up

  1. Go to Circleback's website.
  2. Click on the "Get Started" button located on the homepage.
  3. Fill in your details to create an account. You may need to verify your email address.
  4. Once logged in, you will be prompted to connect Circleback with your preferred task management tools such as Trello, Asana, or Todoist. Follow the on-screen instructions to grant necessary permissions.

Step 2: Your first meeting notes

  1. Schedule a meeting as you normally would.
  2. During the meeting, open Circleback in your web browser.
  3. Click on the "Start Recording" button to begin capturing the audio of the meeting.
  4. After the meeting ends, click on "Stop Recording". Circleback will process the audio and generate notes.
  5. Once processing is complete, you will see a summary of the meeting notes. Review the notes for accuracy.
  6. Circleback will automatically highlight actionable items. Click on the "Send to Tasks" button to push these items to your connected task management tool.

Step 3: Get better results

  1. To improve transcription accuracy, ensure that your microphone is of good quality and that there is minimal background noise.
  2. Use the "Edit Notes" feature to refine any inaccuracies in the meeting notes.
  3. Set reminders within Circleback for urgent action items by clicking on the "Add Reminder" option next to each item.

Pro tip

Use the "Tag Participants" feature to assign action items directly to specific team members. This saves time by ensuring everyone knows their responsibilities right away.

Common mistake to avoid

Avoid starting the recording too late or stopping it too early. This can lead to missing important details. Always double-check that the recording is active before your meeting starts.
