Getting started with Reclaim.ai

In this guide, you will learn how to set up Reclaim.ai and start using it to automate your scheduling. By the end, you'll be able to efficiently manage your meetings, tasks, and focus time with ease.

Step 1: Sign up and set up

  1. Go to reclaim.ai.
  2. Click on the “Sign Up” button located at the top right corner.
  3. Choose the free plan for individuals and enter your email address. Follow the prompts to create a password.
  4. Once registered, connect your existing calendar (Google Calendar or Outlook) by clicking on “Connect Calendar” and following the instructions.

Step 2: Your first scheduling task

  1. After connecting your calendar, click on the “Tasks” tab on the left sidebar.
  2. Click on the “Add Task” button.
  3. Enter a task name, due date, and select the priority level from the dropdown menu.
  4. Specify the estimated time to complete the task and click “Save”.
  5. Reclaim will automatically find the best time in your calendar to schedule this task based on your preferences and availability.

Step 3: Get better results

  1. Navigate to the “Habits” tab to set up regular habits. Click “Add Habit”, name it, and choose how often you want to perform it.
  2. In the “Focus Time” section, set aside uninterrupted time for deep work. Click “Add Focus Time”, specify the duration, and save it.
  3. Customise your settings in the “Preferences” section to fine-tune how Reclaim schedules tasks and meetings based on your work style.

Pro tip

Use the “Smart Scheduling” feature by clicking on the settings gear next to your tasks and enabling it. This lets Reclaim automatically reschedule tasks if your calendar changes, saving you time in manual adjustments.

Common mistake to avoid

Avoid setting overly rigid time constraints for tasks. If you specify a very short time frame, Reclaim may struggle to find suitable slots, leading to scheduling conflicts. Instead, allow some flexibility to improve automation effectiveness.
